I use presentations in Keynote and PowerPoint, can I use them on Idea Flight?
Any files that can be saved as a PDF can be used for an Idea Flight presentation.
How do I import presentations to my iPad?
The best way to import presentations to Idea Flight is by transferring to your iPad from the Public folder of your free Dropbox account. Find more information here:

Files can also be accessed using iTunes File Sharing, simply drag the presentation to your iPad. Find more information here:

You can also e-mail files to yourself and open them on your iPad. Idea Flight will appear as an option in your ‘Open In’ box.
How do I convert my PowerPoint, Keynote or other format presentations into PDF files?

How do I connect over Bluetooth?
Make sure Bluetooth is enabled and Wi-Fi is disabled on all iPads participating in the meeting via: Settings > General > Bluetooth > On OR Settings > Wi-Fi > Off. Once all Bluetooth settings are enabled, you should automatically be able to connect.
How many devices can I connect to over Bluetooth?
Via Bluetooth, a maximum of 4 iPads (including the Pilot) can be connected.
My Bluetooth is still not working…what could be wrong?
You may have exceeded your network capacity. If your are quite certain this is not the case, refer to ‘Why can’t I see one of my Passengers?/Why can’t me Passenger find me, their Pilot?’ in the FAQs.

Use this handy list to check the following:
- Everyone has installed Idea Flight 2.1.1*
- Everyone’s on the same, stable (working) Wi-Fi or Bluetooth network
- You’ve opened Idea Flight & selected “Pilot”
- You’ve opened your desired PDF from your File List or by logging into Dropbox
- Everyone else has opened Idea Flight & has selected “Passenger”
- All Passengers have selected you as their Pilot
I checked all the above, why can’t they see my presentations!
Idea Flight can connect up to 16 iPads via Wi-Fi and 4 via Bluetooth. You may have exceeded your network limit. Get the Passenger Plus upgrade in app to connect with 30+ Passengers (more than 30 pending on your file size and network activity).
How do I let Passengers look through my presentation individually?
Tap on the Seatbelt icon in the lower left corner of your Idea Flight screen to Unlock Passengers. Tap again to fasten the Seatbelt and regain control of your presentation.
How do I know who the other Passengers are?
Tap on the people icon in the lower left corner of your Idea Flight screen. If they are signed into their LinkedIn or Facebook accounts their names, photos and titles (if available) will appear in your Passenger Manifest. If they have not signed into either, they will appear on your Passenger List with their device name.
How many presentations can I give using Idea Flight?
There is no limit to the number of presentations you can access on the fly using the three methods described above.
Where do I find my presentations?
Tap on the presentations icon on the lower left corner of your Idea Flight screen. You can choose from presentations accessed recently, saved locally, or sign in to your Dropbox account and open files from your Public folder.
My presentation isn’t formatting to the full screen.
Check your document’s size. You may need to change it by going to “Page Setup” within the File menu and choosing “Options”. From here you will go to “Paper Size” then “Custom Page Size”. For a landscape presentation it should be: 1024×748 pixels or 13.65×9.97 inches. For a portrait presentation it should be: 768×1004 pixels or 10.24×13.39 inches.
How can I lock the orientation for my Passengers?
Controlling the orientation differs depending on the version of your OS. If you are working with 4.0 and up, go to the General menu in your Settings app then tap on the option to “Use Side Switch to:”. You will have two options from there, “Lock Rotation” and “Mute”. If the selection is “Mute” then to lock the orientation: double tap the devices home button (the round button below the screen) to reveal the multi-tasking bar. Then, swipe to the right to reveal the iPad’s controls. The right-most button can be tapped to lock/unlock rotation.
In versions older than 4.0, the only way to lock rotation is via the Side Switch.
Can I display my presentation on a projection system?
Yes! You can use a VGA or HDMI adaptor to connect your iPad to a screen, or use AirPlay to stream to an Apple TV (requires iOS 6).
I’m a Pilot, what is the new icon in the lower left hand side next to the scrubber?
That is the Call Button. If you make this feature available to your Passengers they will be alerted by a badge on the icon and when tapping on the icon, your Call Button list will appear. You can sort by Name, Recency or by Slide.
What does the Call Button do?
It allows Passengers to signal their Pilot that they have a question or comment giving Pilots the option to stop and address the inquiry immediately or if they prefer to wait until a later point, they can know what order to take Passengers’ feedback. Pilots can also get other useful data, for example which areas of their content prompt more questions than others.
How do I activate Call Button?
Activate Call Button by purchasing the feature in our “Upgrades Store”. This one-time purchase allows this feature to be available for any meeting you Pilot.
Some of my Passengers do not have Call Button, why?
The new features included with Ideaflight 2.1.1 are not backwards compatible with our previous release. Please be sure that all your Passengers have upgraded to version 2.1.1 before you begin your presentation. As always, it is free to Passenger a presentation.
What is the gauge icon in the upper right of my screen?
These are the Flight Controls. When accessing this feature, a palate of tools will be revealed allowing Pilots to highlight, draw, diagram, spotlight and erase over their content and have it show up on their Passengers’ devices.
Do my Passengers have access to Flight Controls as well?
No, this set of tools is meant for the Pilot to help him or her customize their content for their Passengers.
How do I activate Flight Controls?

Will these be permanently fixed onto my content?
No, just for the duration of THAT Idea Fight session unless you use the eraser to erase it.
If I allow Passengers to save the content, will the markings stay?
No, they would save a clean copy.
How come some of my Passengers can’t see my markings on their screen?

How do I increase Passenger limit?

What happens after 30 Passengers?

Do I have to pay additional for Notes?
No, Notes is included with initial download of Idea Flight.
How do I open Notes while in a presentation?
To create a new Note during a presentation, simply tap on the upper right hand “Compose” icon on the navigation bar. To return to the full screen presentation mode, tap “Hide” and you can go back and forth in the same manner.
What about when I’m not in a presentation…where are they kept?
Your Notes will automatically be save to your local file list for anytime access. Plus, if you have a Dropbox account, make sure you’re logged in – we’ll automatically create a new folder called /IdeaFlight/ and save all your Notes there too!
What can I do with my Notes other than save and access them…can I share them?
Yes, you can email to yourself or others by tapping the “Arrow” icon in the navigation.
If my Notes are open, can I continue to move through my slides or do I need to be in the full presentation view?
Yes, you can continue to move through your presentation while in Notes.
Do Passengers see my Notes or that view of screen in any way?
No. Passengers will only see the presentation not the Notes or the Notes view you see on your screen so feel free to write whatever you like!
What is Boarding Passcode?
Sometimes, you have particularly sensitive content to present, so we created Boarding Passcode for these types of gatherings. This adds security already offered by most closed wi-fi networks.
Do I have to pay additional for Boarding Passcode?
No, Boarding Passcode is included with the Pilot version of Idea Flight and is free for Passengers to participate in as long as their Pilot has version 2.1.1. Passengers DO HAVE TO HAVE VERSION 2.1.1 of IDEA FLIGHT which is FREE to download and only takes a few moments and can be done from their iPad. No installations from IT, approvals or long download time is required. Go to www.ideaflight.com/app for the most recent version.
How do I set a Boarding Passcode?
At the bottom of your file list is a Passcode switch. To increase security for more sensitive meetings, you can set this switch to “ON” requiring Passengers to enter a 4-digit BOARDING PASSCODE to access your meeting content. This usually occurs when setting up your meeting (usually when you’re in the room but before all your participants have arrived). You will be shown a random 4 digit code to verbally share with your Passengers and they will enter it into their interface prior to seeing any of your content. NOTE: The default is OFF, so you will need to select ON for for each instance.
What if I forget my Passcode mid-meeting? Can I reset it?
Your code will be persistent (to you only) at the top of your presentation so you don’t have to worry about remembering the code for stragglers. If for some reason you need to reset simply switch Passcode off then back on again, and there will be a new code for new passengers, but existing passengers will already have been authenticated, so no worries. To clear out a session, you as the Pilot would need to exit & start a new session again.
Do I have to use this feature to use Idea Flight?
No, it’s totally optional and just an added layer of security if you have PARTICULARLY sensitive content. Most Wi-Fi networks are already quite secure. This is additive and not for everyone.
How do I enable Rotation?
When you are on a slide, simply press, apply and hold 2 fingers on the screen. You will see a message indicating “ROTATION ENABLED.” From there turn the slide, almost like a dial to your preferred positioning. Tap with 2 fingers to get out of “Rotation Mode.”
Oops…I went too far. How can I rotate back?
Simply press the 2 fingers again and reverse the positioning you just used.
Will it apply this aspect ratio to my entire presentation?
Yes, since we found this feature was looking to solve for users having trouble formatting their presentations either from portrait or landscape, the aspect ratio carries through to the rest of the presentation.
How does Pinch & Zoom work?
The same way it does on most apps for iOS. Pinching and Zooming pulls and stretches images and content in and out.
Will my Passengers see exactly what I see when I Pinch and Zoom?
Yes, in “Locked” mode, they see what you see so you can draw attention to a specific area, for example.
What about when I “Unlock” my content?
Then Passengers can move about the content and get close up or pull back as they wish. But as soon as you ‘Lock’ the presentation again…everyone must go back to their seats!
I am experiencing crashing. What could this be caused by?
